STUDENT REGISTRATION PROCESS - JAMES W. HILL


Welcome to James W. Hill. We are located at 2860 Kingsway Drive, Oakville, ON.

Please read all the instructions for student registration carefully. These instructions can also be found on the Halton District School Board Website.


STEP 1

Identify your child’s home school. Refer to information at “Find My Local School”.


STEP 2

Complete the Student Registration Form. To fill out the form electronically, please download and save the PDF first. A scanned version completed by hand is also acceptable.


STEP 3

Mandatory documents to accompany the registration form include:

  • Proof of Child’s Age: birth certificate OR passport OR baptismal/faith record for your child.

  • Proof of Address: (any TWO of the following documents): lease or deed, car registration, utility bill, residential telephone bill, moving bill, property tax bill, bank statement, credit card statement, correspondence with a Government agency. IMPORTANT NOTES: The documents must be current (within the last 3 months). Please also note that a driver’s license will not be accepted as documentation for proof of address.

  • Proof of Child’s Citizenship: birth certificate or passport, Record of Landing (IMM 1000) or Permanent Resident Card. (If your child is a Permanent Resident, please bring one parent's Proof of Citizenship as well)

  • Proof of Custody: If you are not the parent and your child is under 18 you must provide proof of custody (court order).


STEP 4

For Kindergarten Students only

Kindergarten (JK/Year 1): If your child will be 4 by December 31, 2023.

Kindergarten(SK/Year 2): If your child will be 5 by December 31, 2023.


The following forms should also be completed for students entering Kindergarten for the first time. The School will provide further information for submitting these forms when

acknowledging receipt of the completed Student Registration Form.


NOTE: For Kindergarten Students where the below circumstances apply should register via the Welcome Center. Please refer to the process under “NEW AND/OR RETURNING TO ONTARIO” below:

  • The parent has a Work Permit AND is registering their first child in the family with the Halton District School

Board

  • The parent/child has a Study Permit/Visa, or

  • The parent is a Permanent Resident applicant on visitor status


STEP 5

Email your completed Student Registration Form along with the mandatory documents to Mrs. Matthews at matthewsf@hdsb.ca. Once your registration package has been received and

reviewed, we will contact you to confirm the registration.


NOTE: NEW AND/OR RETURNING TO ONTARIO

Students from Grade 1 to age 21 who are new to the Halton District School Board will register through the Welcome Centre if they are:

  • Entering the Ontario school system for the first time, and whose first language is not English (or is a variety of English) *

  • Entering with an International Student Visa (or any Visa, including Visitor Visa)

  • Entering with a Work Permit or a Study Permit (student and/or parent/guardian holds the permit)

  • Entering with their Permanent Residence application in process

  • Entering from a French language school in a French language school board (if first language is not English)

  • Re-entering Ontario after an absence of a year or more (if first language is not English)


* Where student is a Canadian citizen, Permanent Resident or Refugee Claimant


Additionally, the Welcome Centre registers Kindergarten students where:

  • The parent has a Work Permit AND is registering their first child in the family with the Halton District School Board

  • The parent/child has a Study Permit/Visa

  • The parent is a Permanent Resident applicant on visitor status
